● Ability to work with confidential and highly sensitive information.
● Process any change to wages or deductions as needed for salary adjustments, garnishments, or benefit changes.
● Review hourly time entry report for accuracy and work with various departments to correct discrepancies.
● Prepare and reconcile all Federal and State payroll tax deposits, Federal 941 quarterly report, State of Michigan annual report wages, sales and sales tax, UIA quarterly reporting.
● Upload, process, and reconcile bi-weekly payroll to the Office of Retirement Services (ORS) system, ensuring each payroll is in balance and that payment is made timely.
● Process benefit enrollments, status changes, terminations and open enrollment ● Reconcile monthly insurance invoices ensuring the District is billed correctly and resolve discrepancies.
● Submit HSA payments ensuring each account is correct.
● Reconcile District and employee deductions and correct discrepancies.
● Assist with setting up withholding and remitting employee deductions for 403(b) and/or 457b deferrals and upload files to a third party administrator.
● Maintain an efficient system to ensure accurate payroll processing and timely reporting deadlines ● Administer and track FMLA for all staff;process short term and long term leaves of absence, including disability requests.
● Maintain job salaries and deductions in accounting software and in District records master.
● Prepare and distribute W-2 forms and new hire packets.
● Review third-party substitute invoices to ensure correct allocation of costs.
● Verify and track absence balances.
● Report employee injuries for Workers Compensation.
● Follow multiple bargaining agreements, prepare teacher contracts, extracurricular contracts, and at-will contracts.
● Be willing and able to plan vacations and personal business to accommodate payroll schedule.
● Maintains all records on leaves and vacations.
● Records attendance and benefit accumulations.
● Reviews, processes and pays all authorized invoices.
Ensures timely entry of data to automated system, including disbursements, ACH batch entries and journal entries.
● Maintains vendor file including vendor numbers and responds to vendor inquiry regarding payment.
● Maintains W-9’s, tax exemption forms, and 1099 reporting status for all vendors.
● Prepares, verifies and distributes checks; files copies.
● Prepares information in response to ad hoc requests for payment histories.
● Interprets, applies and explains District policies and school procedures and regulations.
● Processes all purchase orders and reconcile credit card statement.
● Maintain files of paid and unpaid invoices and purchase orders.
● Assists with annual audit.
● Processing of monthly check runs.
● Responsible for purchase order distribution and board bill vouchers.
● Is a good public relations person for the school system.
