*Description:* This is an advanced position in our Operations series responsible for leading the daily work of department staff maintaining client records and information for highly regulated industries.
Work is done under frequent direction from supervisor.
Some cross-training between similar types of tasks may be required.
Responsibility level is elevated to personal performance and quality standards as well as coordinating team members and other cross-functional groups to ensure that team goals are being met as assigned.
*Key Duties:* * Oversee Indexing team on a day-to-day basis including directing workflow by assigning projects, maintaining daily metrics data for individual team members, lead team meetings to maintain communication and update team members on project updates, ensure cleanliness of department equipment and work area(s), and document and escalate concerns to Production Manager to directly address concerns with individual team members.
* Training of new Production Associates or Trainers, and cross-training existing team members to attain operational excellence, meet the demands of our customers and maintain compliance to Abraxas SOPs, WIs, and client specifications.
* Ensure that Abraxas Standard Operating Procedures (SOPs), Work Instructions (WIs), and client specifications are understood and followed by Indexing team members, and decisions made during the work process are consistent with the direction provided by the Production Manager or Customer Experience team so that a quality work product is efficiently delivered to clients; Escalate questions to the Production Manager where further clarification is needed.

* Determine Indexing project start and completion dates.
* Return all client records to the exact state in which they were found and do not alter client record order or negatively impact client record integrity.
* Quality check client record images, indexing information and other Indexing work products are recorded accurately in the appropriate system(s) and are ready to be uploaded in an accurate and timely fashion in compliance with SOPs, WIs and client specifications; Verify existing logged records against physical copies to verify accuracy and completeness and make corrections as needed; Logging records into an applicable system or tracking mechanism.
* Quality check Data Processing team uploads to systems to ensure accuracy and completeness.
* Maintaining consistent communication with Production Manager, Project Managers, Customer Experience team and Management, Client Engagement team and Management, and/or Production Associates regarding client specifications, project status and deadlines, indexing of ingested client records, images, metadata or other work products, and respond to complex customer queries through email and/or routine meetings.
* Pull Master Reports and ensure that information is accurate and complete based on client specifications.
* Ensure Production department documents are updated consistently and accurately to assist in business operations.
* Track and close all queries and ensure that all Service-Level Agreements (SLAs) are being met; Coordinate with Production Manager if issues are identified with SLAs.
* Embrace plans for improving production, quality, and efficiency from supervisory oversight by utilizing Lean processes to support and enhance business operations; Make recommendations for continuous process improvements.
* Assist with monthly billing as needed.
* Understand and utilize all tools and systems for time-tracking as requested by the Production Manager.
* Work to applicable Good \_\_ Practice (GxP) requirements.
* Performs other duties and special assignments as required and assigned.
*Requirements:* * High school diploma or equivalent * At least one year of experience in records management industry and/or highly regulated industry required * Ability to consistently be at work on-time and to maintain a regular schedule * Strong attention to detail * Ability to read, interpret, and follow process control and specification documents * Ability to maintain highly confidential information * Ability to use judgment to solve problems and elevate when necessary * Must maintain professionalism and composure in all activities and interactions * General ability to use a wide range of computer programs effectively, including but not limited to Excel, Word, Outlook, other MS Office products, and proprietary software applications * Ability to operate machines such as document scanners, printers, and computers *Preferred Skills:* * Data entry experience * Typing 35 WPM or higher * One year of customer service experience preferred *Physical Demands: *The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
