Who we are looking for The Business Services Coordinator is responsible for ensuring the efficient daily operation of company offices and supports the work of Executive Leadership and Human Resources.
This position will work directly with clients and partner with other team members to serve our clients.
This position performs a variety of departmentally specific projects and tasks, which require the use of independent judgment, initiative, and tact to determine the approach or action to take in non-routine situations.
We are looking for someone who is highly motivated, proactive and conscientious with a strong organizational aptitude.
What you'll get to do Communicate with people outside the organization, representing the organization to customers, the public, vendors, clients and other external sources.
Welcome visitors by greeting them, in person, email or phone, answering or referring inquiries to the correct employee or department.
Maintain supplies by checking stock to determine inventory levels; anticipating requirements; placing and expediting orders; verifying receipt; stocking items at Tekna offices.
Make travel, meeting, and other arrangements for staff, including hospitality needs for onsite customer visits.
Provide direct assistance to Executive Leadership as requested.
Collect, sort, distribute and prepare mail, packages and deliveries, including USPS, private courier, UPS, FedEx, et al.
Recognize and proactively manage potential problems that may involve employee safety, customer, facility, etc.
Regular care of office break room at all Tekna offices in support of cleaning staff.
Assist HR with coordinating office and employee events at Tekna offices.
Complete and update seasonal building checklists along with coordinating vendor service needs.
Maintain schedule for use, maintenance and necessary repairs of company vehicles.
Maintain building and office equipment by coordinating preventive maintenance.
Assist colleagues with other administrative tasks that pop up throughout the day! What you bring to the team At least 3 years of confirmed experience as an office administrator, executive assistant or relevant role who leads with professionalism by example and has a high sense of urgency.
You will have an advantage in this role if you have familiarity with office management procedures, along with demonstrated skill in Microsoft applications! Prior experience in design or consulting services is a plus.
