SUMMARY:
The Project Administrator (PA) provides general project administration support to the client project team.
This is a multifaceted position that supports the client project teams by providing procurement and invoicing reconciliation support.
The Project Administrator has substantial interaction with client Project Support Services.
ESSENTIAL DUTIES & RESPONSIBILITIES:
· Coordinate with Project Managers and client Project Support Services personnel in creating purchase orders and change orders on existing PO’s.
· Maintain effective working relationships with client contacts to ensure successful PO implementation.
· Assist the client with closeout of Purchase Orders upon completion of the project, or previously agreed upon timelines.
Reopens previously executed purchase orders upon request of client.
· Utilize personal problem-solving skills to navigate information received from project teams and accurately output documentation.
· Work within client supplied systems to reconcile invoice issues for payment.
· Coordinate administration of vendor maintenance requests to client as necessary.
· Coordinate and distributes purchase order documents to the project team.
Maintains tracking logs and receives required project documentation and ensures receipt of required documentation.
· Facilitate and maintain effective communication with clients, architects, engineers, owners and trade contractors.
MINIMUM REQUIRMENTS:
· Associates degree in business administration, accounting, purchasing or similar field; or 2-5 years’ equivalence of administrative experience (preferably in a construction and/or pharmaceutical industry environment)
· Proficient in Ariba / Buy on Demand
· Proficient with Microsoft office products:
Excel: filters, sorts, subtotals, charts, graphs, formatting, text and number formulas,
Adobe/Bluebeam: bookmarking, typewriter function, page manipulation, cropping
Word: footers, headers, creating table of content, tables, graphs, mail merge, hyperlinks
Outlook: email, folders, macros, etc….
· Exceptionally professional, organized, and detail-oriented
· Excellent interpersonal skills – written and verbal communication, analytical, and problem solving skills
· Knowledge of principles and practices of office organization, planning, records management, purchasing and general administration
· Knowledge of SAP, Procore, pharmaceutical and/or construction terminology and practices is a bonus!
